We are on an exciting journey continuing international expansion, and now we are looking for an experienced and proactive Executive Assistant who will support our new CEO and ensure that his day-to-day work runs smoothly and efficiently.

About the position
As Executive Assistant to the CEO, you will be responsible for maximizing the CEO’s effectiveness through strategic administrative support, proactive prioritization, preparation, and seamless execution. You will manage a broad scope of tasks and responsibilities, ranging from calendar management and communication to project coordination and executive meeting management. This role requires discretion, presence, sound judgment, and the ability to anticipate needs in a dynamic and global environment. You will collaborate with senior stakeholders across regions and functions, and your impact will be visible across the entire company.
The position is based in Stockholm (Rotebro), with a hybrid setup requiring at least three days per week on site. Some travel will be required.
Examples of responsibilities and tasks:
Act as a trusted partner and representative of the CEO, ensuring focus on high‑value priorities
Provide high-level support, including complex calendar management, international travel arrangements, and meeting coordination across multiple time zones
Coordinate and follow up on CEO‑led meetings, including EMT meetings, offsites, board preparation, and customer engagements
Prepare and organize meeting materials, such as presentations, agendas and reports, and support decision‑making through research, analysis, and concise recommendations
Serve as a primary point of contact between the CEO and internal/external stakeholders
Ensure discreet and high‑judgment handling of sensitive and confidential matters
Lead or support cross‑functional projects on behalf of the CEO
Role‑model Envirotainer’s values and contribute to a positive, high‑performance culture
Your qualifications
At least 7–12 years of experience in a similar role supporting C‑level executives in different time zones. Experience supporting a CEO is considered an advantage.
Experience from a fast‑paced, high‑growth, or complex corporate environment, preferably in a global matrix organization within professional services, logistics, pharma or PE-owned companies
Exceptional written and verbal communication skills in English
Advanced proficiency in Microsoft 365 and modern digital productivity tools
A bachelor’s degree in business, communications, or a related field is considered a merit but not a requirement
Your profile and personal characteristics
Strong business acumen, service-minded, and ability to understand and anticipate executive priorities
Proven ability to drive efficiency, structure, and follow‑through
Proactive and solution-oriented with a strong sense of ownership
Confident and self‑driven with the presence to represent the CEO and interact with senior stakeholders
Strong interpersonal skills and ability to collaborate across cultures and functions
Adaptable and comfortable handling ad-hoc tasks, shifting priorities and unexpected challenges
High integrity, discretion, and excellent judgment
